POSITION OVERVIEW – Relief Assistant – Administrative Assistant II
The Relief Assistant – Administrative Assistant II will oversee and execute the day-to-day administrative and operational functions that support a secured executive floor and help ensure smooth, professional operations. This role offers a meaningful opportunity to make a direct impact by supporting senior leadership and administrative teams through high-level coordination, organization, and customer service. Responsibilities include managing conference rooms and floor activities, controlling visitor access, maintaining executive spaces, and supporting high-profile meetings and events, including catering and vendor coordination. The position also plays a key role in relief coverage for executive assistants, with priority support for the Upstream President and DM&C President desks, requiring flexibility and discretion. In addition, the Relief Assistant will assist with mail handling, maintenance requests, distribution lists, emergency preparedness, and basic AV and technology support. This role is ideal for a polished, detail-oriented administrative professional who thrives in a fast-paced, executive-facing environment and enjoys being a trusted operational partner.
 
RESPONSIBILITIES:
  • Manage conference room bookings and oversee daily floor activities
  • Control access to the secured floor and manage the visitor system
  • Maintain executive areas, including conference rooms and refrigerator
  • Handle mailings and enter floor maintenance requests
  • Maintain the Level 49 floor plan
  • Provide support to 49th-floor assistants, prioritizing relief coverage for the Upstream President and DM&C President desks
  • Manage the 49th-floor distribution list
  • Assist with high-level meetings and events on the 49th floor, including catering
  • Support emergency preparedness activities and assist during drills or incidents
  • Provide basic troubleshooting support for conference room AV equipment
  • Coordinate with catering and maintenance vendors for events and repairs
  • Perform other miscellaneous administrative tasks as needed
REQUIRED QUALIFICATIONS/SKILLS:
  • Minimum 2–3 years of receptionist or administrative experience
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite and visitor management systems
  • Ability to maintain confidentiality and handle sensitive information
  • Professional demeanor and polished appearance
EDUCATION/EXPERIENCE 
  • Minimum 2–3 years of receptionist or administrative experience
  • Demonstrated experience supporting executives or senior leadership in an office environment
